Lifetime deposit - Changing from one trip to another?

Hi,

maybe someone of you has experiences with this. I am booked on two trips in the upcoming fall - the Spiritual India (November 13th - November 27th, 2011) and the Delhi to Kathmandu (October 29th - November 12th, 2011). Now I am not that happy with my booking anymore because doing both would mean I would only have one day in Kathmandu - which I know from my last stay there, is not enough - and then I would have to fly back to Delhi for the start of my second tour.

Originally I wanted to do Delhi to Kat starting the 24th of October which would have given me six days in Kathmandu but this departure was booked out before I could talk to my boss.

Now I am considering switching from the Delhi to Kat to the Essential Vietnam and Cambodia trip commencing October 22nd which is even 380 Euros more expensive than the Delhi to Kathmandu.

I always thought I could change from one trip to another without paying any fees as long as I am outside of 60 days prior to departure - I still am, still more than 100 days till the start of both trips.

So I sent GAP an email to make sure that I am right and that's what they told me an hour ago:

"As long as we are outside of 60 days before the tour, we can change your tour €169.80. This works out to be 20% of the cost of your tour, and is the standard fee for anyone looking to change or cancel their current booking as per their Terms and Conditions."

That's even not what I experienced last year when I had to cancel my China trip in May because I got hospitalized for a surgery. I cancelled my trip 61 days prior to the start and didn't pay anything to GAP, I just took my deposit for my next trip.

Tips and suggestions would be highly appreciated because I am holding an option on the Vietnam and Cambodia trip which expires by the end of tomorrow.

I would suggest calling GAP (or getting your travel agent to) and noting the date/time/person's name that you spoke to.
In the terms and conditions, there is nothing to do with a 20% cancellation fee. This only indicates loss of deposit, which technically would be a "lifetime deposit".

(a) Cancellation for Gap Adventure Trips and Gap Adventures Independent Trips: The cancellation fees are expressed hereafter
as a percentage of the total tour price, excluding insurance.
i) Cancellation 60 days or more before departure: Loss of deposit.
ii) Cancellation 59-30 days before departure: 50% of cost of services booked.
iii) Cancellation less than 30 days before departure: 100% of cost of services booked.

Hi Btomlin,

thank you very much for responding and thank you for copying. :D I will go to my travel agent today and talk to them but I fear a bit that they gonna charge me extra because when I change my trip they have more work with me. :shock:

I will also call GAP tonight. I wrote them a second mail right after I received their mail but up to now no one from GAP replied. I am a bit pissed of because of that. As long as you as you have positive feedback or questions about trip bookings (which are positive for GAP) they always respond at once sometimes in less than one hour. But as soon as you have a question including a little criticism it takes time. :roll:
